SANCCOB, a leading organisation dedicated to the conservation of seabirds, is seeking an enthusiastic and driven Marketing and Media Coordinator to join the team. The ideal candidate will be professional, energetic, confident, and passionate about conservation, and have a proven track record in people skills and communication manners. THE POSITION
As the Receptionist, you will need a clear understanding of SANCCOB’s operations and its mission, vision and strategic objectives. You will be responsible to meet and greet visitors to our Centre, coordinate various administration task, tour and school bookings, and incoming calls. Further support with sales and stock control in the merchandise shop will be required. This position is an entry-level role, and you will need experience in people skills and have good communication manners with a professional appearance to promote the SANCCOB brand and live SANCCOB’s core values. The Receptionist is a key member to the SANCCOB team, reporting to the Education and Skill development manager working towards SANCCOB strategic conservation objectives.
Key Result Areas – OUTPUTS
Key Responsibilities:
- Manage the switchboard and reception area so that it is always welcoming, neat, and professional.
- Monitor emails, forwarding and taking of all messages for staff members.
- Take bird calls and coordinate drivers and first responders.
- Secretarial duties including the welcoming of guests, sharing information about SANCCOB, preparing for meetings, taking tour and group bookings and taking minutes of meetings, when required.
- Coordinate and assist in booking and setup of education room, meeting room and boardroom.
- Office stationery: Maintain and control stationery and the use there off, and replenishment of Office Stationery with line Manager, do monthly stationary stock take.
- Bathroom replenishment: ensure the bathroom consumables are replenished daily. This includes the toilette paper, hand paper towels, hand soap and toilet sanitizers.
- Rest area replenishment: ensure the rest area consumables are replenished and stocked daily. This includes, hand wash soap, hand paper towel, coffee, tea, sugar and milk.
- Maintain an up-to-date drafted admin folder of first responders, staff contact list, extension list and birthdays.
- Manage and maintain staff, volunteer and intern sign in log books.
- Assist with staff signing internal policy documents only when required.
- Assist with shop sales if required.
- General filing administration: filing documentation, updating DevMan with visitors, schools, donations and other activity reports.
- Manage and congratulate staff on their birthdays and arrange birthday cards and vouchers with the assistance of the procurement officer.
- Receiving of deliveries with its invoice and checking delivery stock is correct.
- Receive supplier statements.
- Assist printer and telephone reports and feedback.
- Assist with printer toner and paper refills.
- Coordinate the vehicle usage according to a pre-determined budget. / Be aware of usage / Monitor vehicle log books.
- Monitor and compile vehicle check sheets, summarize all incidents and handover to procurement officer at end of each month.
- Any other task necessary for the conduct of the employer’s business, as the employer may, from time to time direct.

QUALIFICATIONS AND EXPERIENCE:
- Matric certificate.
- Experience in Public speaking, administration and sales would be an added advantage.
- Be proficient in Microsoft Office (Excel, PowerPoint, outlook, Word and OneNote)
- South African citizen or valid work permit.
- Valid driver’s license.

REMUNERATION:
Subject to negotiation. Remuneration package commensurate with qualifications, experience, and SANCCOB’s remuneration model.
